The YWCA is seeking a dedicated and detail-oriented Enrollment Clerk to join our team.
The Enrollment Clerk will play a crucial role in maintaining accurate State Department of Education child care files, handling enrollment processes, and supporting the overall administrative tasks related to childcare programs.
This position requires strong organizational skills, computer proficiency, and the ability to work collaboratively with parents, staff, and management.
Key
Responsibilities:
Enrollment and File Maintenance:
Ensure all child care files are 100% accurate, meeting both Department of Licensing and Department of Education requirements.
Process monthly billing to parents, including those responsible for fees at Hidden Valley Childcare Center.
Maintain up-to-date attendance rosters for each classroom.
Enrollment Outreach and Marketing:
Meet weekly enrollment quotas for all assigned centers.
Answer parent inquiries about enrollment and distribute information through community outreach, including flyers, newspaper ads, radio ads, and online platforms.
Assist in preparing and distributing marketing materials to promote enrollment.
Reporting and Documentation:
Submit quarterly reports to the Department of Education, including completing 801 forms and any reports required by the YWCA Controller.
Review classroom sign-in/out sheets and prepare accurate reports for the Department of Agriculture.
Complete all required enrollment reports for various departments within specified deadlines.
Food Program Support:
Assist with the food program, completing required forms and ensuring Federal Food eligibility forms are completed by the deadline.
Check meal production forms, prepare menus, and purchase food if requested.
Office Assistance:
Support general office tasks assigned by the Assistant Executive Director for Childcare.
Flexibility to work on a flex-time schedule, including weekends, and weeknights.
Purchase supplies, answer telephones, and perform clerical duties.
Maintain an organized reference/filing system as directed.
Qualifications:
Experience in childcare enrollment and management, with a strong understanding of childcare practices.
Bilingual abilities in English and Spanish are highly desirable, though not mandatory, to cater to a diverse demographic.
Proficiency in utilizing computer spreadsheets and various enrollment programs tailored to educational or childcare settings.
Competent in Microsoft Outlook, Excel, and Word, demonstrating the ability to efficiently manage data and communicate effectively.
Possession of a valid California driver's license, access to reliable transportation, and a willingness to travel to assigned sites as necessary.
Successful completion of a background check and DMV clearance Ability to pass a physical examination, a TB test, and the capability to lift up to 25 lbs Exceptional organizational skills and a keen eye for detail, essential for managing the complexities of childcare enrollment and administration.
