Maintains subject matter records and files that relate to the work of the unit. Sets up and maintains logs showing the status of actions and correspondence. Ensures that files include all required documents and that all documents are properly signed. Receives visitors and telephone calls to the office determines the nature of the request and directs callers to appropriate staff or personally providing the information desired when routine or procedural matters of the office are involved. Takes request for appointments with supervisor and staff. Checks on their availability and confirms appointment. Reschedules appointments upon request of supervisor or staff member. Responds to routine and non-technical requests for information such as status of reports, suspense dates for matters requiring compliance and similar information readily available from files. This may involve determining whether to release the information based upon the nature or degree of sensitivity of the information and the requestors authority to receive the information. Receives incoming correspondence, screening material prior to distribution for suspense dates, establishing controls and following up for supervisor. Reviews all outgoing correspondence to insure adequacy of content, proper format, proper coordination, typographical accuracy and conformance to established correspondence procedures. Schedules appointments and decides for time, participants and location of meetings in accordance with instructions from supervisor. Makes necessary arrangements for travel, arranging schedules for visits, making reservations, notifying organizations and officials to be visited and submitting travel vouchers and reports. Maintains related files and records as assigned and in a manner consistent with the Veterans Health Administration, planning and arranging the maintenance and preparation of information needed for reports, and organizing the flow of clerical processes in the office. Requisitions office supplies, equipment and publications. Performs timekeeping. Promotion Potential:
The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. Experience:
GS-07:
You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
making travel arrangements, composing correspondence, receiving, screening, and distributing correspondence, researching and gathering data and information for reports, briefing, etc., scheduling appointments and scheduling and coordinating meetings. GS-8:
Must possess one (1) year of specialized experience that has equipped you with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position. This specialized experience must have been equivalent to the GS-7 level in the Federal service. Examples of qualifying specialized experience include:
performing assignments such as preparation of correspondence, suspense documents, and reports; carrying out administrative duties independently in accordance with established policies and office practices; performing a full range of clerical administrative functions for an office, including arranging for travel and meetings and assembling reports from information available in files or from staff members; working knowledge of office automation software and programs, to include telecommunications, word processing, graphics, internet protocols, maintaining electronic libraries and files, automated personnel and timekeeping programs, use of a scanner and ability to apply knowledge and skills in producing and processing a wide range of documents and other materials; preparing a variety of narrative and statistical material, correspondence, reports, etc., in final form for supervisor's signature; used judgment in selecting spacing, arranging material and ensuring proper punctuation, grammar, spelling and capitalization. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
